Job Description

Planning NEXT is a leading community visioning and planning firm located in Columbus, Ohio. Our tight-knit and fast-paced office is seeking a supportive team member to join our practice.  

We are looking for a detail-oriented Bookkeeper to assist with reconciling and tracking accounts, processing and paying bills, processing payroll, and supporting financial reporting. The ideal candidate will be highly organized, proficient in QuickBooks Online (QBO), and capable of handling multiple responsibilities. 

 

Essential Responsibilities 

1. Process Payroll (twice monthly). Monitor time entries and reimbursable expenses, then enter payroll data into PayChex, ensuring accuracy. Monitor and track pay rate changes. Add or remove employees from payroll as necessary. Process Simple IRA contributions.  

 

2. Reconcile Accounts and Track Accounts Receivable (twice monthly). Reconcile checking and credit card accounts to ensure all transactions are recorded. Verify liability accounts for payroll, Simple IRA, and wages.  

 

3. Enter Bills and Process Payments (twice monthly). Track and pay bills, ensure deposits are processed correctly, and verify direct deposits. Maintain vendor W-9 records (intermittent). 

 

4. Financial Reporting & Compliance (monthly and annually). Generate routine Profit & Loss, Balance Sheet, AR/AP aging, and other month-end reports. Prepare and send 1099 forms and other tax-related documents for year-end CPA review. 

 

Additional Preferred Responsibilities  

5. Generate and Manage Invoices (monthly). Verify time and expenses are entered for invoicing. Manage automatically generated bi-monthly utilization and project cost reports. Work with project managers to create invoices, ensuring accuracy with project budgets.  

 

6. Support project-based accounting (intermittent). Set up new projects, vendors, and employees in project software (BQE CORE). Work with project managers to update and track budgets through CORE. Verify necessary records are synced to QuickBooks. 

 

 

 

Qualifications 

  • Experience: 3+ years in bookkeeping, accounting, or financial administration. Experience with payroll processing, invoicing, and project-based accounting. 

  • Skills: Proficiency in QuickBooks Online (QBO), Excel, and financial reporting. Experience with BQE CORE a plus. 

  • Detail-Oriented: Strong ability to identify discrepancies and ensure accuracy. 

  • Organized: Ability to manage multiple financial tasks and meet deadlines. 

 

 

Work Environment & Schedule 

  • Part-time with flexible scheduling. Typically 24-36 hours per month. 

  • Hybrid/remote options available.
